16. Financial Obligation and Authorization

  • By opting to enroll in a course or package through a payment plan or installment agreement (whether via our secure online billing system or by signing a manual credit card authorization agreement), the student commits to paying the total program fee in full. Installment plans are strictly structured payment schedules for the full tuition; they are not month-to-month subscriptions and cannot be canceled mid-term.

  • To ensure a smooth payment process, all registrants are required to provide a valid credit card on file. The student authorizes the enrolling institution—Velloos to automatically withdraw the scheduled installment amounts on the agreed-upon dates until the full balance is paid. (Note: For manually processed installments, applicants must sign an agreement with their credit card information. Please see the sample of this agreement).

17. Restrictions on Practical Sessions

  • If a student opts to pay for a course or package in installments, restrictions may apply to the number of practical sessions they can book until the tuition is paid in full. Typically, this restriction is based on the cost of each individual session, meaning the student may only book practical sessions whose combined value matches the total amount they have paid to the Institution so far.

18. Failed Payments and Account Suspension

  • In the event that an automatic installment payment fails or is declined (due to an expired or invalid card, insufficient funds, incorrect information, or any other reason), the student will be notified and granted a 5-day grace period to update their payment information and successfully process the charge.

  • If the outstanding balance is not resolved within this 5-day grace period:

  • Account Suspension: The Institution reserves the right to immediately suspend the registrant’s access to the online learning portal, all online materials, and eligibility to attend in-class practical training sessions until the account is brought current.

  • Processing Fees: A $50 processing fee will be applied for each subsequent manual attempt required to charge the card or resolve the failed payment.

19. Refund Policy

  • Due to the nature of our educational programs, which include immediate access to proprietary digital content, our refund policy is strictly enforced.

  • Digital Content & Online Courses: All sales of online streaming videos, digital courses, and downloadable materials are final and non-refundable. Once access to the online learning portal is granted, the value of the digital program is considered fully delivered.

  • In-Person / Practical Sessions: If a student has purchased a package that includes in-person practical sessions, refund requests for the practical portion must be submitted in writing at least 14 days prior to the scheduled training date. Approved refunds for practical sessions will be subject to a $50 administrative cancellation fee.

  • No-Shows: Students who fail to attend a scheduled practical session without prior written notice will forfeit that session. No refunds or free rescheduling will be provided for no-shows.

20. Rescheduling and Course Cancellations

  • Student Rescheduling: Students may request to reschedule a booked practical session up to 14 days before the event without penalty. Rescheduling requests made within 14 days of the event will incur a rescheduling fee of $500.

  • Cancellation by Velloos: Velloos reserves the right to cancel or reschedule any in-person practical session due to low enrollment, instructor illness, or unforeseen emergencies. In the event of a cancellation by the Institution, students will be offered the choice of a full refund for that specific session or priority enrollment in the next available date. Velloos is not responsible for any incurred travel or accommodation expenses.

21. Chargebacks and Payment Disputes

  • We urge students to contact our support team to resolve any billing issues before contacting their bank or credit card company.

  • If a student initiates an unmerited chargeback or payment dispute with their credit card issuer, their access to the Velloos learning portal and all future practical sessions will be immediately and permanently suspended.

  • The student will remain legally responsible for the original outstanding balance, plus a $50 chargeback administrative fee. Velloos reserves the right to forward unpaid accounts to a third-party collections agency, which may impact the student’s credit score.

21. Chargebacks and Payment Disputes

  • All tuition fees, payment plans, and additional charges are processed in United States Dollars (USD). Where required by local state law, applicable US state sales taxes will be calculated and added to the total tuition cost at checkout. Students are responsible for any foreign transaction fees or exchange rate differences charged by their personal banking institution.
